JOB SUMMARY: Provides administrative assistance for Support Services team (Construction/Property Management, Environmental, Nutritional, Security, Plant Operations and Communications). Responsibilities include answering the call center support line, data entry of work orders, dispatching support services and follow up on requests. Responsible for coding accounts receivable/payable invoices. Types minutes for various meetings through use of laptop computer. Communicates with vendors for ordering samples, supplies and obtaining quotes. Maintains information on intranet site. Schedules meeting rooms and equipment. Operates mail room services for system. Coordinates Print Shop requests for system.
Education: High School Diploma required. Strongly prefer Associate Degree in Business or related area
Experience: Minimum of three years administrative assistant experience with proficiency with Microsoft Word and Excel and Outlook required. Prefer experience with Microsoft Access. Construction Assistant requires additional proficiency with Adobe Professional, Microsoft Project and Microsoft Visio. Auto Cad experience is desired, but not required. Prior experience must include managing calendars, typing minutes during meetings, data entry (alpha and numeric) proficiency, answering multi-line phones. Desire experience in a customer service oriented organization. Construction Assistant desire prior experience working with property management and/or construction.
Other: Strong communication, organizational and interpersonal skills; ability to work independently.
TYPICAL PHYSICAL DEMANDS Requires corrected vision and hearing to normal range, manual dexterity and eye-hand coordination and verbal communication skills. Sitting for long periods of time, standing, stooping, bending and stretching required. Occasionally lift and carry up to 25 pounds.
TYPICAL WORKING CONDITIONS: Requires ability to work occasionally stressful conditions; some exposure to communicable diseases or body fluids and other conditions common to a healthcare environment.
