  • Summary

    Provides secretarial and other support services for Senior Vice President & CFO and also Vice President of Professional Services.

     

    Essential Functions and Job Duties

    Takes messages and follows through to ensure information is disseminated; maintains confidentiality in all contacts.  Informs CFO and Vice President of Professional Services of activities, needs and problems as they arise.


    Uses proper telephone etiquette in receiving calls, answering questions, and transferring calls.

    Greets and receives guests.  Screens visitors and determines urgency of requests.  Maintains appointment schedules.  Provides assistance to external auditors, review agencies, attorneys, investment bankers, etc. as directed by CFO.

    Sorts and distributes incoming mail.

    Completes typing assignments and other support services often within a limited time frame, which are often confidential in nature.  Understands and uses current software, becomes familiar with updates and new softwar

    Supports the Accounting Department in preparing and processing monthly financial statements for the DMH Health systems

    Records minutes of Board meetings of the Finance Committee and Plan Administration Committee.

    Prepares various letters, confirmations, documentation, and minutes for team of auditors.

    Types federal and state tax returns as directed by Accounting Department.

    Remains knowledgeable on trends and developments in software that could enhance documentation and presentations by the CFO and Vice President of Professional Services (Word, Excel, Power Point, etc.)

     Identifies and resolves operational hardware problems in the department.

     Prepares and distributes quarterly and annual communications to interested parties relating to bond issues.

    Keeps files, lists and records up-to-date and easily accessible.  Provides assistance for special projects such as coordination of bond issue documents, certificates of need, managed care, the hospital’s pre-registration program and information to be provided during the JCAHO audits.

    Education and/or Other Requirements

    Associates Degree or three years related experience in an administrative office environment with progressively responsible supportive experience which has provided a thorough knowledge of business English.
