SPECIALTY TEAM LEADER
Location: Weeks Medical Center
Department: SURGICAL SERVICE - ORTHOP

  • Position Summary
    • The Specialty Team Leader will work full time and is responsible for coordinating the functions of the specialty department to include optimizing workflow and improving office efficiency. The Team Leader also functions as a member of the clinical team. Responsibilities will include overseeing clinical/clerical issues with the nursing, front desk and providers of the practice as well as ensuring day-to-day functions within the specialty unit are well maintained.
  • Qualifications
    • Previous supervisory experience preferred.
    • Basic computer skills required (e-mail and Kronos timekeeping). Competency with Microsoft Word and Excel preferred.
    • Professional
    • High school diploma or equivalent
    • Current certification as Medical Assistant
    • BLS certification
    • Basic office skills and familiarity with health care environment and medical terminology
    • Personal
    • Excellent communication, organizational, and problem solving skills.
    • Possesses personal qualities such as kindness, understanding, respect, good judgment, and integrity, a sense of humor, enthusiasm, and ability to relate effectively to patients, families, and other members of the Physicians’ Office Team.

  • Essential Functions of the Job
    • Work with clinical/clerical team to meet the needs of the patients under the direction of the provider, which may include making appointments for office visits if indicated and completion of referrals for ancillary testing and/or patients referred to other facilities.
    • Review mail for providers of the team. Forward for action per protocols.
    • Function as part of the clinical staff for patients to include rooming, documenting reason for visit, and obtaining vital signs.
    • Assist team members with patient communication.
    • Work with team members to provide timely appointments for patients.
    • Communicate effectively to patients, their families, and other health care professionals.
    • Assist both clinical and clerical staff with concerns, keeping the Physician Office Operations Manager informed of issues.
    • Meet standards, skills, and competencies of Certified Medical Assistant.
    • Work with the Operations Manager to ensure that ordering, delivery and storage of supplies and medications are maintained in an efficient manner.
    • Work with the Operations Manager to ensure adequate staffing for the specialty department.
    • Answer incoming calls, take messages, and transfer calls as appropriate.
    • Holds monthly meetings that include all team members to discuss practice operations.
    • Meets regularly with provider staff.
    • Responsible for training and orientation of new and float employees assigned to specialty department. Responsible for providing input to Operations Manager on staff evaluations and low-middle-high conversations. Responsible for maintaining staff accountability to Weeks policies and keep Operations Manager informed of areas of concern regarding staff that could lead to future disciplinary actions.
    • Responsible for development, measurement and documentation in Leader Evaluation Manager of clinic goals. Responsible for leading and engaging team in successful achievement of established goals.
    • Responsible for leading and engaging clinic team members in STUDER principles.
    • Responsible for monthly rounding on patients, providers and staff.
    • Responsible for providing reward and recognition as appropriate, including sending thank you notes as warranted.
    • Fully participate and engage in Team Leader Meetings.
    • Responsible to keep providers and staff informed as to all communications received in various meetings that impact their duties and responsibilities.
    • Perform all other duties as assigned.
