  • Basic Function: Performs and provides administrative and legal support services such as preparing template legal documents for attorney review, preparing and maintaining reports,  preparing correspondence in final form, scheduling meetings, maintaining calendar and files, and conducting special projects as assigned.  Responsible for the maintenance of the contract repository system, and tracking all internal requests for legal services.  This position provides for an organized communication flow and works with highly confidential information. 



    1. High school diploma or equivalent required.  Associate's degree with concentration in legal, administrative office professional preferred. 

    2. 3 years’ experience in corporate setting or a legal assistant/secretary in a high volume law office or corporate legal office. Legal Assistant or Paralegal Certification preferred.

    3. Knowledge with legal contract management.

    4. Proficient typing, transcription,  knowledge of office equipment and office applications (i.e. Word, Excel, PowerPoint)

    5. Basic knowledge of legal and health care law terminology.

    6. Excellent organization skills and ability to manage multiple priorities.

    7. Excellent interpersonal and diplomacy skills.

    8. Excellent grammar and vocabulary, basic mathematics.

    9. Excellent ability to work independently.

    10. Demonstrated excellent communication skills, both written and verbal.

    11. Excellent decision-making and problem solving skills.


    Principle Responsibilities: 



    Performs a wide variety of administrative support that includes, typing, and drafting correspondence and administrative reports.


    Responsible for calendar management of the Medical Group Staff Attorney which requires interaction with internal and external individuals.  Manages calendar in accordance with specific guidelines provided by Medical Group Staff Attorney, which may include scheduling appointments, meeting times, etc. ensuring appropriate timeframe is allotted  including accounting for any travel time.  Assess meeting room space and arranges conference rooms if needed. 


    Develops and maintains confidential electronic and hard copy filing system.


    Drafts contracts and contract addendums for review by Medical Group Staff Attorney and manages the contract execution process accordingly.


    Provide research and support for special projects. Provide accurate, efficient data input and perform basic mathematical computation using MS Excel spreadsheets or other software, etc. for various projects that are assigned.


    Manages the contract repository system (Peminic) for Medical Group, including entering appropriate information, monitoring contract term dates and notifying appropriate individuals, etc. 


    Reviews relevant resources related to provider compensation (i.e., MGMA, Integrated Healthcare Strategies, etc.) to obtain fair market value data for contract review with Medical Group Staff Attorney.


    Uploads all final contracts and related documents to Medical Group SharePoint contract site and monitor to ensure up to date.


    Answers inquiries concerning activities and operations of the MG Legal Department referring to appropriate person and using good judgment in the interpretation of policies and procedures.


    Coordinates the daily operations of the office by screening telephone calls, answering questions as appropriate, sorting, classifying and delivering mail.


    Independently develop, reviews and/or processes a wide variety of reports requests to assure reasonableness, completeness, and adherence to hospital policies.


    May independently or with minimal oversight coordinate projects or programs under the direction of Medical Group Staff Attorney.


    Handles difficult situations with tact, courtesy and professionalism.  As necessary, listens to complaints, concerns, or issues from MG directors, managers, physicians, etc., providing detailed information and follow-up as appropriate.


    Maintains strict confidentiality of sensitive material and information including all legal files.


    Supports the mission, philosophy and goals of Hospital Sisters Health System.

    Abides by the rules and standards that are set by and govern Hospital Sisters Health System


    Provides staff support for Medical Group committees as directed.


    Performs other duties as assigned.
