Reports to department leadership. Responsible for operating in a fast paced environment utilizing administrative, clerical, customer service, financial and organizational knowledge to facilitate the efficient operation of the development department. The Development Assistant works to maintain the overall office environment through daily administrative operational activities to include but not limited to providing direct support to the department’s leadership, maintaining calendars, meeting coordination, creating professional correspondences and spreadsheets, tracking department expenses, processes invoices, procuring and coordinating of office supplies, communicating with prospective donors and others as well as performing other duties as assigned. Serves as the initial point of contact for the community relations and development department. Greets visitors and responds to phone inquiries in a professional manner. Prepares donation deposits, information entry, donation reports and response process. Uses desktop publishing software to create departmental flyers and other materials. Maintains the confidentiality of donation and financial records. Monitors the department activities and communication in support of fundraising activities in order to provide appropriate and timely support and follow through. Provides direct support to department directors and development officers. Exercises independent judgment within established scope in the absence of department leadership. Maintains department logs and records. Interacts with donors and hospital partners, in person and by phone, in a professional manner. Work requires extended periods of standing. Performs other duties as assigned.
Experience, Education and Training Minimum: Bachelors degree in a related field preferred. Three to five years of progressively more responsible administrative experience required. Proficiency in MS Office Suite to include MS Word, Excel and PowerPoint. Ability to type 45 -50 wpm. Excellent written and oral communication, interpersonal and organizational skills. Demonstrated ability to work in a fast paced environment responding to unpredictable, changing situations and needs with sound judgment and excellent customer relations skills. Demonstrates the skill sets to work independently with little or no supervision. Desktop publishing experience preferred. May require occasional night/weekend work. Work requires extended periods of standing. Valid Driver’s license and good driving record required.
