Plans and monitors operational activities of assigned physician offices, including the coordination of clinical activities. Routinely interfaces with physicians and staff to maintain optimal communication between the Corporation and the offices. Monitors financial performance, patient satisfaction, and the image of the practices within the community.
Bachelor’s degree in business, health administration or related field required.
Clinical education and administrative experience desirable.
3 - 5 years of previous and/or progressively more responsible work related experience.
Requires the ability to recognize and process confidential and sensitive information appropriately.
Must communicate effectively both orally and in writing, explaining operations/procedures to employees, enforcing policies and regulations in difficult situations, or performing other duties requiring a comparable level of communications skill.
Requires strong knowledge of medical office operations including familiarity with medical records and billing procedures.
Performs managerial tasks to maintain efficient operations including but not limited to:
a. Interviews, employs, terminate, or make authoritative recommendations with regard to employment or termination of subordinate personnel.
b. Evaluates employee performance, recommends pay increases, handles grievances and takes disciplinary action as required.
c. Maintains records and prepares reports for management use, such as work group performance and budgets.
d. Responsible for practice billings, accounting, accounts receivable, collections and accounts payable.
Review, develops, implements, and maintains standard operating policies and procedures for practices that will facilitate the maintenance of internal and quality controls.
Coordinates the preparation of an annual operating and capitalization budget with detailed objectives and performance measures, and submits for administrative approval. Monitors budget adherence throughout the year to measure fiscal performance, makes appropriate adjustments and recommendations to the offices and other managers/coordinators.
Assists with the planning and development of new practice locations, agreements, practice evaluations, acquisition recommendations, renovations, and start-up.
Oversees the role of employees within each office and monitors the overall staffing plan for physician practice.
Maintains working knowledge of Enterprise hardware and operating systems and in cooperation with Information Systems, is responsible organizing all EHR projects. Performs tasks related to maintaining a viable, on-going operating environment and demonstrates technical proficiency in all aspects of electronic health record technology.
Ensures compliance with all regulatory agencies, as well as third party payer site requirements. Prepares for and participates in outside regulatory and accreditation agency reviews. Maintains the adherence to OSHA & CLIA regulations.
Arranges and participates in promotional activities, presentations to community groups, health education seminars, and other special events.
Assures the physical plant and grounds are well maintained. Oversees the procurement of service agreements for purchased services, i.e., window washing, landscaping, cleaning and maintenance, etc.
Facilitates office participation in pay for performance activities.
Provides Risk Management audits for physician offices by establishing systems & procedures that will enhance patient care, confidentiality and safety.
Coordinates the implementation of nursing care standards, policies, and procedures consistent with organization’s goals and objectives for clinical excellence, and supportive of care appropriate to the age and unique physical and psychosocial needs of the patient population in his/her area of responsibility.
Provides appropriate staff (numbers, classification, expertise) to meet the patient care requirements on a daily basis available productivity standards and sound nursing judgment.
Assures compliance with all Front Desk Procedures Manual policies. Completes self- audit tool on the agreed to schedule.
