Bachelor Degree required with five years’ experience preferred. Considerations will be given to an individual actively pursuing a bachelor’s degree in a related field in addition to five years managerial experience in Healthcare.
Demonstrated ability to lead/direct others and to work effectively with persons of varied background education experience.
Additional education in management principles and adult education is referred.
Assertiveness, organizational skills, effective time management, flexibility and self-motivation are essential.
Demonstrated skills/ability in managing change.
Proven ability to communicate effectively/accurately both verbally and in writing is required.
Proven outstanding customer relationship skills required.
Advanced computer skills required i.e. use of Hospital Network Software Systems, and Microsoft Office products, Windows based programs
Knowledge of Munson Healthcare’s automated information systems preferred.
Under general supervision of the Chief Operating Officer. The position is accountable for supervising the activities of the operational units, on and off-site, as assigned, within Patient Access Services and Medical Records.
Provides leadership and direction of clerical staff work teams within Patient Access Services and Medical Records to assure outstanding customer service and accurate timely completion of assigned job duties. Has daily contact and working relationship with assigned operational units and staff.
Collaborates with counterparts throughout Munson Healthcare for programs/service updates.
Must maintain a working relationship with all ancillary departments.
Set goals for the operational units and is responsible for the attainment of these goals.
Works in well-lighted and comfortable surroundings. Occasionally works in ancillary departments. May sit for long periods of time but will experience extended periods of standing or walking. Work is subject to frequent interruptions.
Ability to work a flexible schedule dependent on the needs of serviced departments, performing the duties of Central Scheduler and Patient Access Services Representative when required.
Able to operate under frequently stressful conditions due to the constantly changing requirements in health care.
Uses effective customer service/interpersonal skills at all times.
Delegates to staff the authority necessary for the performance of their duties and ensures that adequate controls exist to render delegation effective.
Develops and maintains excellent communication with physicians and physician office staff and other facility departments to promote efficient patient processing.
Identifies or assists in identifying problems involving staff, other departments and medical staff, and works with these groups as appropriate to define and implement solutions. Demonstrates initiative and judgment in adapting or devising solutions to meet emergency or unusual conditions.
Provides leadership and direction in developing and implementing policies and procedures utilizing Critical Access Hospital and MDPH guidelines in their development. Updates job descriptions as necessary or at least every two years.
Facilitates staff hiring, orientation and training. Assesses staff continuing education needs and plans to assist staff in meeting those needs. Plans, facilitates, and documents appropriate orientation and competency programs.
Develops and implements unit goals and objectives annually incorporating strategic imperatives. Reviews, reports on progress, and revises as necessary. Designs statistical tracking to track department volumes and goals.
Develops and recommends annual Capital Equipment and Operations Budgets based on emerging technology. Is accountable for maintaining the integrity of the unit budget, utilizes resources appropriately and reports variances. Works within budgetary restraints to achieve a timely, quality product.
Maintains personal knowledge of MHC personnel polices and administers fairly and uniformly.
Ensures evaluation of performance of all staff annually on a timely basis and recommends appropriate action. Provides appropriate corrective action according to policy.
Prepares monthly and daily schedule that will meet the work flow of the department and the hospital.
Facilitates/approves bi-weekly payroll time cards and maintains assorted attendance and overtime records.
Assures personnel knowledge of policies, procedures and any hospital wide information through education programs or other communication techniques.
Utilizes CQI process for appropriate issues throughout Munson Healthcare. Develops and implements plan for Quality Review of unit programs and services. Recognizes and reports to Risk Management all occurrences which might result in liability of the hospital. Manages the daily and monthly quality assurance/control activities on work performed. (See attached list of reports).
Maintains own professionally growth, demonstrates awareness of new trends in practice, analyzes those trends for applicability to the unit, shares new information with appropriate others, participates in appropriate educational offerings.
Responsible for cash handling functions for the hospital.
Performs other duties assigned.
