ENTRY REQUIREMENTS

Formal training beyond the high school level, or its equivalent in experience.

Three years of secretarial experience.

Computer literacy, high-quality typing and transcription skills, and ability to operate standard office equipment.

Good organizational skills and understanding of office management.

Excellent human relations and interpersonal skills.

Ability to accept responsibility, to maintain confidentiality, and to function independently.

Ability to communicate clearly in English, both orally and in written form.

Ability to function under stressful conditions.

Frequently utilizes personal computer and various office equipment.

Physical Demands:  Moderate physical effort (lift/carry up to 25 lbs.), frequent standing/walking, lifts supplies/equipment, manual dexterity and mobility, occasional reaching, stooping, bending, kneeling and crouching

Some travel may be required.

 

ORGANIZATION

This position reports to the CHM Community Assistant Dean and COM Director. Provides secretarial support to the MSU College of Human Medicine and College of Osteopathic Medicine campuses in Traverse City.

 

SPECIFIC DUTIES

Supports the Mission, Vision and Values of Munson Healthcare.

Uses effective customer service/interpersonal skills at all times.

 

Cross-Departmental Responsibilities

Promotes the MSU-CHM Traverse City Campus and MMC COM Base Hospital as a quality clinical site for MSU medical students.

Assists in the communication and approval of annual rotation schedules.

Helps the staff maintain MSU CHM and COM medical student files and schedules.

Coordinates psychiatry rotations for all MSU CHM and COM third-year students. This includes preparing clerkship letters; running clerkship orientations; updating and distributing syllabi; preparing materials for clerkships, processing evaluation forms and E-Value system, proctoring exams, processing clerkship documentation including student grades, and communicating with the Department of Psychiatry.

Coordinates visiting student schedules, including allopathic and osteopathic medical students. This includes processing applications, contacting physician preceptors, creating student schedules, and collecting all borrowed MHC property (cancel beepers, collect keys, etc.) at the end of the rotations.

Coordinates lectures and lunches with visiting faculty.

Travel to East Lansing required

 

College of Human Medicine Responsibilities

Maintains and improves teaching faculty database on a regular basis.

Maintains hard-copy teaching faculty files.

Coordinates OB/GYN rotations for all MSU CHM students and assists with the preparation and implementation of other required clerkships. This includes preparing clerkship letters; updating and distributing syllabus for clerkships, lecture scheduling and reminding; preparing materials for clerkships, processing evaluation forms and E-Value system for clerkships, processing clerkship documentation including student grades, and proctoring exams for clerkships.

Coordinates Core Competency sessions

Assists with the following:

·         Prepares agenda and minutes for campus meetings

·         Makes travel arrangements for student and faculty away sessions

·         Coordinates videoconferencing schedules for student meetings

·         Assists with Block III Orientation

·         Transcribes letters as needed

 

College of Osteopathic Medicine Responsibilities

Facilitates PCAC and CORE Orientation for third year MSUCOM students

Coordinates clinical rotations for all COM base students. This includes preparing manuals and schedules; tracking online Angel evaluations; proctoring exams; processing clerkship documentation including student evaluations/grades; communicating with MSU COM departments; graduation preparation.

Tracks online rotation requests through Angel and performs course enrollment for base COM and visiting COM students in Traverse City, through the Angel website.

Coordinates the COM PCAC weekly didactics calendar.

 

Performs other duties and responsibilities as assigned.
