Under general supervision of the department manager, performs functions associated with transcription of dictation. Provides clerical/telephone support for departmental operations as required. Major Duties: Meets organizational expectations as defined by the Employee Standards of Performance, hospital and department policies and procedures, and the hospital’s strategic goals. Verbalizes a clear understanding of continuous quality improvement and customer satisfaction measures and actively participates in improvement initiatives. Transcribes medical dictation according to established departmental procedures. Appropriately edits, revises and clarifies dictation without altering the meaning or changing the dictator's style. Meets established quality and productivity standards. Recognizes and reports to the Manager unusual circumstances, errors and discrepancies in dictation and/or information which indicate potential risk factors for the patient or the hospital. Maintains and updates resource tools, both electronic and hard copy, such as new medical terms, etc.
Takes telephone and/or faxed requests from physicians/clinical areas, and collaborates with other staff, when necessary, to satisfy request. (Ex: STAT transcription, correction of report errors, etc.) Operates standard office machines and learns special equipment operations. Recognizes and reports malfunctioning dictation and/or transcription equipment to Manager or designee. May be required to provide listening assistance to other transcriptionists to interpret difficult dictation. Performs quality peer review as requested. Performs routine personal computer file and e-mail maintenance functions. Maintains log of downtime and reports same to supervisor in time to meet payroll deadline. Performs other duties as assigned or directed to ensure smooth operation of the organization. Education/Knowledge/Skills/Abilities: Preferred: Courses in English and Medical Terminology and Anatomy/Physiology. Knowledge of dictation and transcribing equipment (training in these tools will be expectation to adequately function in this role). Type 70 words per minute. Minimum one year transcription in an acute care facility or for a transcription outsource vendor that provides services to acute care facilities. Required: Type 60 words per minute. Knowledge of anatomy, physiology, clinical medicine, surgery, diagnostic tests, radiology, pathology and pharmacology as well as English language rules. Ability to recognize, interpret and evaluate inconsistencies, discrepancies, and inaccuracies in medical dictation from originators with various accents, dialects and dictation styles. High school diploma or equivalent. One year transcription in a clinic, physician's office, or similar medical setting or graduate of a course in medical transcription is acceptable provided the individual meets the established work and quality standard within 90 days of hiring.
