The Office Receptionist – Front serves as a vital contact for physician office employees and providers by communicating to patients in a friendly professional manner. This position requires a very strong emphasis on oral communication, excellent telephone and customer service skills, and a willingness to interact with the public. Demonstrates the ability to organize and plan daily work with completion requirements. Maintains the integrity of patients accounts receivables. Major Duties: Meets organizational expectations as defined by the Employee Standards of Performance, hospital and department policies and procedures, and the hospital’s strategic goals. Verbalizes a clear understanding of continuous quality improvement and customer satisfaction measures and actively participates in improvement initiatives. Demonstrates cooperation and support in engaging staff with teamwork. Verifies and communicates the patient appointment schedule with the physicians the day before clinic. Assist in collecting patient records and assembling new patient charts and updating established patient records. Calls patients the day before their appointment and reminds patient of appointment and balance due if payment is required for visit. Verifies patient information and insurance information, preferably the day before patients visit.
Verifies benefits on patients as well as obtaining pre certification or authorization when required. Instructs and assists patient in completion of appropriate forms, including but not limited to patient registration, medical release and consent. Copies all patient demographic data and insurance cards using HIPPA guidelines and attaching data to patient’s records. Collects payments from patient upon check-in for insurance co-payments and identifies patient co-pays and deductibles per assigned insurance contracts. Assembles deposits and completes appropriate accounting paperwork per physician practice. Schedules and/or reschedules appointments for patients using the appropriate physician template. Schedules appropriate diagnostic tests, surgeries and procedures as instructed. Pulls and/or re-files patient charts. Processes faxes by pulling charts, attaching documents to charts requiring attention either to nurse, physician or office staff. Maintain office integrity and reports to supervisor any issues or concerns. Demonstrates responsiveness and follow through. Demonstrates planning, organizing and problem solving and assists in the implementation of the solutions. Attends training for staff development. Demonstrates good customer service and proper management of the Customer Service area and staff. Performs other duties as assigned or directed to ensure smooth operation of the organization. Education/Knowledge/Skills/Abilities: Preferred: Physician Office Practice Management System. Bachelor’s degree or comparable work experience. Five year experience working in a physician office with comparable work experience. Required: Computer Usage/Windows Literacy. Microsoft Word/Excel. Calculator Skills. High school diploma, GED not acceptable. One year experience working in a physician’s office with an understanding of insurance and billing requirements. Licensure/Certification: None required.
