The Records Specialist responds to all medical records requests including subpoenas and client and/or third-party requests in accordance with all applicable state and federal laws and regulations and established Unit procedures. Performs all duties associated with medical record management, including filing of documentation, developing charts, record archiving and retrieval, answering phones, and providing internal and external customer service to authorized individuals seeking access to client medical record information. Delivers subpoenas to court if needed.
REQUIREMENTS/EDUCATION AND EXPERIENCE/QUALIFICATIONS
High School Diploma is required, Associates degree is preferred. Prior medical records experience required and previous experience working with an electronic medical record and hybrid-record environment is preferred. Possesses working knowledge of relevant software and has experience with Microsoft Office applications. Ability to speak and read Spanish is preferred. Registered Health Information Technician (RHIT) certification is preferred. Must be capable of working flexible hours and have access to reliable transportation.

ESSENTIAL DUTIES AND RESPONSIBILITIES
Receives, logs, and accurately processes all internal and external requests for medical records in a timely manner and in accordance with established Unit procedures and agency policies and all applicable state and federal laws and regulations.
Receives, logs, and accurately processes all subpoenas in a timely manner and in accordance with established Unit procedures and policies and all applicable state and federal laws and regulations.
Provides effective and professional customer service via telephone, written, and face-to-face interactions with individuals including clients, collaterals, and agency staff seeking information on accessing and/or managing client medical records.
Understands and adheres to all state and federal confidentiality laws and regulations and ensures the confidentiality of all client protected health information in accordance with such laws/ regulations and company polices (i.e., disclosure of protected health information, retention requirements, HIPAA rights).
Performs all duties associated with medical record management, including filing/scanning of medical record documentation, record archiving, and record retrieval.
Utilizes the electronic health record and other available technologies to carry out, track, and streamline daily tasks.
Achieves established productivity standards as set within the Central Records Unit.
Demonstrates the ability to work as part of a team and contributes to the overall effective operation of the Unit and coordinates across departments to support the overall mission of the organization.
